New Procedures for the Government Loans service

If you use the Archives’ Government Loans service either as a registered client or as a user of loaned records there are changes that you should be aware of.

In July, Archives revised many of its fees and charges and it was considered timely to also review the Government Loans Procedures to providing consistency in the services offered by Archives and to ensure that Government Loans can continue to assist clients in accessing the information and records they need.

Feedback from those who responded to our recent Government Loans Procedures survey contributed to this review, and we are thankful to the clients and users who participated.

The previous review of the Procedures in 2013 made some relatively minor changes. The review that has just ended has resulted in significant changes for the clients and users of the service.

Three significant changes have been made to the Procedures as a result of the review:

• The number of free standard loans per public office is now 10 per week. ( See section 2: Requesting)
• Overdue loan reminders will no longer be sent to public offices – overdue charges will be notified and applied as appropriate. (See section 9: Census)
• The charges for excess loans, urgent loans, overdues, sighting, research and lost files have been revised and increased from July 1.

Archives encourages clients and users of the Government Loans service to consider the alternative options below for accessing the historic public records entrusted to our care:

• Free access to records is available in the Reading Room of the Archives office that holds the records.
• Archives staff can undertake research on records by arrangement subject to the standard research charges.
• Archives may also be able to digitise records subject to the standard charges. Technical capabilities differ between offices – contact the Archives office that holds the records to explore this option in detail.
